MyColoc SARL attaches great importance to the protection of personal data. This policy explains what data is collected via the mycoloc.lu website, for what purpose, on what legal basis, to whom it is disclosed, how long it is retained, and what your rights are.

It applies in accordance with Regulation (EU) 2016/679 (GDPR) and the Luxembourg law on the protection of natural persons with regard to the processing of personal data.

2. Data collected

We only collect the data necessary for the purposes described below. Depending on your request, this may include:

  • identification and contact details: surname, first name, email address, telephone number;
  • data relating to your project, for property owners: local authority, property type and floor area, number of bedrooms, standard of finish, and other details entered into the rental potential or compliance simulator;
  • details relating to your search, for tenants: preferences, type of room sought, information provided in the application form;
  • the content of your messages: information that you voluntarily provide to us via a form, a call-back request or an email;
  • technical data: connection and browsing information collected via cookies (see Article 8).

No sensitive personal data as defined by the GDPR is collected intentionally. We ask that you do not enter any such data in the free-text fields of the forms.

3. Source of the data

Data is collected directly from you when you:

  • fill in a contact form (owner or tenant),
  • use the rental potential simulator or the compliance simulator,
  • ask to be called back or make an appointment,
  • sign up for our newsletter,

Where processing is based on your consent – for example, in the case of the newsletter – this consent is obtained explicitly (via a double opt-in procedure) and may be withdrawn at any time.

5. Recipients and subcontractors

Your data will be shared with MyColoc SARL and authorised personnel within the company.

To carry out our operations, we use technical service providers (subcontractors) who act on our instructions and provide guarantees in accordance with the GDPR:

  • Brevo: a customer relationship management and email marketing platform (forms, simulator reports, newsletters). A company based in France (European Union).
  • Google (Google Workspace): business email for the mycoloc.lu domain.
  • o2switch: website hosting. Company based in France (European Union).

We do not sell or rent your data to third parties for commercial purposes. Your data may be disclosed to the relevant authorities where required by law.

6. Transfer outside the European Union

Our main service providers host and process data within the European Union. Where processing involves a transfer outside the European Union, this is governed by the safeguards provided for in the GDPR (in particular, an adequacy decision or standard contractual clauses).

7. Retention periods

  • Prospects and unfulfilled enquiries: up to 3 years from the date of the last contact.
  • Customers (owners and tenants): throughout the duration of the contractual relationship, and thereafter for the statutory retention periods (in particular for accounting and tax purposes).
  • Newsletter: until you withdraw your consent (unsubscribe).
  • Cookies: in accordance with the time limits specified in Article 8.

Once these periods have elapsed, the data is deleted or anonymised.

8. Cookies

This website uses cookies and trackers.

  • Strictly necessary cookies: essential for the website to function (security, technical preferences). They do not require your consent.
  • Audience measurement and third-party cookies: where applicable, to analyse website traffic or in connection with our tools (e.g. Brevo). These are only stored with your consent.

When you first visit the site, a banner will appear allowing you to accept or decline non-essential cookies. You can change your settings at any time via the site’s cookie settings or your browser settings. Declining non-essential cookies does not prevent you from accessing the site.

9. Safety

MyColoc SARL implements appropriate technical and organisational measures to protect your data against loss, unauthorised access, disclosure or alteration (secure connections, restricted access, GDPR-compliant service providers).

10. Your rights

In accordance with the GDPR, you have the following rights:

  • the right to access your data,
  • right to rectification,
  • right to erasure,
  • right to restriction of processing,
  • right to data portability,
  • right to object,
  • the right to withdraw your consent at any time, where the processing is based on your consent,
  • the right to set out instructions regarding what should happen to your data after your death.

To exercise these rights, please contact us at carole@mycoloc.lu. We may ask you to provide proof of identity. We will respond within one month, which may be extended if necessary.

11. Complaints

If you believe that the processing of your data does not comply with the regulations, you may lodge a complaint with the Luxembourg supervisory authority:

12. Amendments

This policy may be updated to reflect changes in the law, technology or our practices. The applicable version is the one published on the website on the date you view it.
